A WhatsApp CRM your whole team can work from
Every WhatsApp chat, contact and deal in one place, so sales and support see the same customer history and nobody replies twice.
What is a WhatsApp CRM?
A WhatsApp CRM keeps customer records next to the conversations that create them. When a lead messages your business, the chat, the contact, the deal and the follow-up task live together. Your team doesn’t have to copy numbers into a spreadsheet or ask who spoke to the customer last.
Botmust connects to the official WhatsApp Business API and adds the team inbox and CRM on top. You can also bring Instagram, Facebook Messenger, Telegram, SMS and email into the same inbox, so a customer who switches channel keeps one history.
One shared inbox for every WhatsApp chat
All conversations arrive in one inbox that every teammate can open from their own login. Assign a chat to the right person, set its priority and see at a glance which chats are waiting for a reply. Roles decide what each person can see and change, so a support agent and a sales manager each get the access they need.
The customer’s details sit beside the conversation: name, phone number, tags, lifecycle stage, open deals and past activity. Whoever picks up the chat can answer without asking the customer to repeat themselves.
| Task | One shared phone | Botmust inbox |
|---|---|---|
| Who replies | Whoever holds the phone | The assigned teammate, with a clear owner for every chat |
| Customer history | Scroll back through the chat | Contact record with tags, stage, deals, tasks and activity |
| After hours | Unanswered until morning | BotMust AI answers routine questions and hands over to the team |
| Reporting | None | Campaign delivery results per recipient and deal values per stage |
Contacts, lists and segments that stay up to date
Import contacts from a spreadsheet or another tool, or let them build up from incoming chats. Organize them with tags, lifecycle stages and custom fields you define, such as city, product interest or renewal date. Save the groups you message often as lists, or build segments from rules so new matching contacts join automatically.
Consent is part of the record. Botmust keeps a history of opt-ins and opt-outs per channel and leaves opted-out contacts out of your broadcast campaigns.
Deals, tasks and bookings next to the chat
Turn a promising conversation into a deal and move it through pipeline stages you name yourself, from new enquiry to won. Each deal shows its value, its owner and the conversation behind it, so a manager can review the pipeline and open the exact chat that moved it forward.
Add tasks with due dates for follow-ups such as “send the quote” or “call after the demo”. When a customer wants to meet, send a booking link in the chat. They pick a free slot, and the appointment appears in your Botmust calendar, with Zoom, Microsoft Teams or Google Calendar if you connect them.
AI and automation that keep the CRM tidy
BotMust AI answers routine questions from your own business knowledge, collects details such as name and requirement, and passes the chat to a person when a customer asks for one. It is included in every plan within the monthly AI allowance, with no separate API key.
No-code flows handle the steps that repeat: ask qualifying questions, tag a contact who replies to a campaign, create a deal or an appointment from the chat, or hand the conversation to a person. For online stores, cart recovery and order confirmation run from the same workspace.
Connect the tools you already use
Already have a CRM? Botmust connects to HubSpot, Salesforce and Zoho, so WhatsApp leads reach the system your sales team already uses. Google Sheets, Zapier, n8n, webhooks and the Botmust REST API cover the rest. The number of integrations depends on your plan; see plans and pricing.
Common questions
Can several people use one WhatsApp number?
Yes. With the WhatsApp Business API, every teammate replies from the same business number through their own Botmust login. Each plan includes a set number of team seats.
Do I have to replace my current CRM?
No. Use Botmust as your WhatsApp CRM, or connect it to HubSpot, Salesforce or Zoho and keep your existing records there.
Can I import my existing contacts?
Yes. Import a CSV file, check the imported fields and tags, and review consent before you send a campaign to the imported contacts. A migration flow also helps with supported exports from other tools.
